How to Manually Enter a Hotel Booking

Learn how to enter an external hotel booking within the Voyagr Platform.

When you book a hotel outside of Voyagr, you can still record it in a trip by manually entering the property details, dates, guest names, pricing, and confirmation number. This is useful for keeping all of a client's accommodations in one place, regardless of where the booking was made. After saving, the hotel booking appears in the trip summary alongside other items.

Before You Start

  • Have the hotel booking confirmation details from the external supplier

  • Know the check-in and check-out dates, pricing, and confirmation number

  • Have a trip created or be ready to create one

Steps

  1. Navigate to the Search Tab

  2. Click on External Booking and choose Hotel from the booking type options

  3. Make sure to select the Trip you want to add this booking to, or create a new Trip.

  4. Enter hotel details:

    • Hotel name

    • Confirmation Number

  5. Select dates:

    • Choose the Check-in Date & Check-out Date

    • Dates must match your external booking confirmation

  6. Enter pricing details:

    • Total Price

    • Taxes and fees

    • Commission Rate

    • Commission Amount

  7. Select the number of rooms

  8. Click Save Hotel Details

The hotel booking now appears in the trip summary for the trip you selected.

Tips

  • Double-check dates and pricing match the external confirmation exactly

  • Use the confirmation number field for the supplier's reference number

  • The currency selector supports multiple currencies for international bookings

  • You can add the same hotel multiple times if booked on different dates

  • Notes are internal only -- clients don't see them

Form won't save

Make sure all required fields are filled; check for red error messages

Check-out date is before check-in

Verify dates match your confirmation; check-out must be after check-in

Duplicate confirmation number warning

This is a warning, not an error; you can proceed if the booking is legitimate

Total price doesn't match

Enter the exact total from your confirmation; the system doesn't auto-calculate
