What Happens When I Add an External Booking

An external booking is a reservation you made outside Voyagr (directly with a hotel, airline, or supplier) that you manually enter into the platform. When you add an external booking, it's stored in the Commission Tracking & Trips alongside any bookings made through Voyagr's search tools. This keeps all client travel details in one place.

How It Works

When you manually enter an external booking:

  1. You fill out a form with booking details (hotel name, dates, confirmation number, pricing, etc.)

  2. Voyagr validates the data to ensure required fields are complete and formatted correctly

  3. The booking is saved as a Trip item with "Manual Entry" indicated as the source and in the Commission Tracking

  4. It appears in the Trip detail view alongside supplier-booked items, grouped by product type

  5. Pricing is included in the Trip's total cost calculation

  6. The booking is included in the itineraries you share with clients

External bookings are not processed for payment through Voyagr. You handle payment directly with the supplier. Voyagr stores the booking information for tracking and reporting purposes.

Example

Scenario: Your client wants to stay at a boutique hotel that's not available through Voyagr's supplier network. You call the hotel directly and book 3 nights at $250/night.

  1. You create a Trip in Voyagr for this client's travel

  2. You click Add External Booking and select Hotel

  3. You fill out the form:

    • Hotel name: "Sunset Beach Boutique."

    • Check-in/Check-out dates

    • Room type: "Ocean View Suite"

    • Confirmation number: "ABC123"

    • Pricing: $250/night base rate, $45/night taxes, $795 total

  4. You submit the form

  5. The hotel booking now appears in the Trip detail view under "Hotels (Manual Entry.)"

  6. When you build the itinerary, this hotel is included in the day-by-day plan

The client sees the full Trip including both supplier-booked and external bookings.
