How to Manually Enter a Car Rental Booking

Learn how to add an external car rental booking to Voyagr.

When you book a car rental outside of Voyagr, you can record it in a trip by entering the rental company, vehicle type, pickup and drop-off details, driver names, pricing, and confirmation number. This keeps car rental information alongside your client's other trip items. Use this whenever you need to add an externally booked rental car to a travel plan.

Before You Start

  • Have the car rental confirmation from the rental company or booking site

  • Know pickup/drop-off locations, dates, times, and confirmation number

  • Have a trip created or be ready to create one

Steps

  1. Navigate to the Search Tab and click on External Booking

  2. Select the trip for this booking or create a new one

  3. Choose Car Rental from the booking type options

  4. Enter rental details:

    • Rental company name (e.g., "Hertz", "Enterprise")

    • Confirmation number

    • Vehicle Type (e.g., "Compact", "SUV", "Luxury Sedan")

    • Make and model

  5. Enter pickup details:

    • Pickup location (address or airport code)

  6. Enter drop-off details (if different from pickup location):

    • Dropoff location

  7. Enter pickup and drop-off dates

  8. Enter pricing details:

    • Total rental rate

    • Taxes and fees

    • Commission rate

    • Commission amount

  9. (Optional) Add notes about insurance coverage, fuel policy, or special instructions

  10. Click Save Car Details

The car rental booking now appears in your trip summary for the trip you selected.

Tips

  • Verify pickup/drop-off times match your confirmation exactly to avoid extra charges

  • Note if pickup and drop-off are at different locations (one-way rental)

  • Include insurance and fuel policy details in the notes for client reference

  • Rental companies often have airport codes or location codes -- use those if available

  • Double-check driver names match the ID for pickup

Common Issues

Dropoff time before pickup time

Check dates; dropoff must be after pickup

Location field too short for address

Use abbreviations, or enter the full address in the notes field

Total price doesn't match

Enter exact total from confirmation; system doesn't auto-calculate

Confirmation number already used
