How to Manually Enter a Flight Booking

Learn how to add an external flight booking in the Voyagr Platform.

When you book a flight outside of Voyagr, you can still add it to a trip by manually entering the flight details, passenger names, pricing, and confirmation number. This keeps all of a client's travel information in one place, even for bookings made through airlines or other sites. After saving, the flight appears alongside other trip items in the trip summary.

Before You Start

  • Have the flight booking confirmation from the airline or external booking site

  • Know the flight numbers, departure/arrival times, and passenger details

  • Have a trip created or be ready to create one

Steps

  1. Navigate to the Search Tab and click External Booking

  2. Select the trip for this booking or create a new one

  3. Choose Flight from the booking type options

  4. Enter the Airline name

  5. Enter the Confirmation Number

  6. Enter flight details:

    • Flight number (e.g., "UA1234")

    • Departure airport code (e.g., "LAX")

    • Arrival airport code (e.g., "JFK")

    • Departure date and time

    • Arrival date and time

  7. Add more flight legs (If needed)

  8. Enter pricing details:

    • Total price

    • Taxes and fees

    • Commission rate

    • Commission amount

  9. (Optional) Add seat assignments if known

  10. (Optional) Add notes for internal reference

  11. Click Save Flight Details

The flight booking now appears in your trip summary.

Tips

  • Use 3-letter airport codes (IATA codes) like LAX, JFK, ORD for faster entry

  • Enter times in the airport's local time zone

  • Double-check passenger names match the ticket exactly for TSA/security purposes

  • Confirmation number is usually 6 characters (letters and numbers)

  • Add connecting flights as separate flight entries

  • If you have a round-trip, enter each direction as a separate flight

Common Issues

Airport code not recognized

Use standard 3-letter IATA codes; check the airport code on your ticket

Arrival time before departure time

Check time zones; if the flight crosses time zones, use local times for each airport

Confirmation number already used

This is a warning; you can proceed if it's a multi-passenger or multi-segment booking

Total price doesn't match

Enter the exact total from your confirmation; system doesn't auto-calculate
